Financial Reporting

The General Ledger System retains all the posted entries in detail by accounting period. The Financial Reporting Menu offers many reporting options that print these entries in a variety of different formats, selection criteria, and sequences. So, if you only need to look at sales accounts for a specific time period, you can print a detailed ledger of those accounts without printing the entire general ledger.
Financial Reporting is extremely flexible. The system can be used to print Balance Sheets, Profit and Loss Statements, Trend Reports, Trial Balances, and an assortment of supplemental statements for any period and year you have on file.
Financial Reporting Company default options are set up in Company Master Maintenance > Company Options > Financial Reporting tab.
Types of Reports
The Financial Reporting Menu offers many reporting options, including printing entries in various formats (looks), selection criteria, and sequences with a simple click of a button.
Technically, you can run any report under any of these Report Sections; however, each one will behave differently and have different results. For example, the Balance Sheet will include Balance Forwards, while the Income Statement will strictly look at period information (unless it’s been overridden with advanced options).

If using one of our templates to create your company, there will be some default reports to help get you started. These include a Balance Sheet, Income Statement, Cash Flow, different Trial Balances, G&A Trial Balance, Property Operating Statement (POS) - Internal,100%, and BOE - and many more!
Running Reports
General Tab
General Tab is where you select the report number(s) and date ranges to print. This tab is slightly different for each report but has common items. Each screen will ask what report you want to run, the time frame, and if you have Dual Date reporting, if you would like to run your report by Effective Date or Production Date. Some of the reports may ask if you would like additional columns or additional information.
Sub-Account Tab
Sub-Accounts tab allows you to print each report as a whole, by individual Sub-Account, or by a selected range of Sub-Accounts. This tab is the same on all reports. ![]()

Financial Group Tab
Financial Groups Tab allows you to print using Financial Reporting Groups and parameters (set up in Group Maintenance). This tab is the same on all reports.

Financial Groups tab – Most Common Options | |
Print Reports for Group # | If you have Financial Groups setup, then select which group you would like to use. Note: typically you would use this option instead of the Sub-Account tab option. |
Group Levels | 0 – 9 will print all levels of your group (see Financial Groups section for more info). Or, if you only want to see a higher level of report, enter in the specific level you want. |
Check Inactive Date on Sub-Account… | If you keep up with Active/In-active dates on your Sub-Accounts, then use this feature to limit what pulls into your report. |
Limit which Sub-Accounts to be included… | Opens up Advanced Options (listed below). This option is only used if data needs to be limited. |

Sum of Account(s) in Range From/thru | Select the account range to be included. |
Comparison Time frame: Last Month/Year to Compare Number of month(s) back to use for comparison Includes Sub-Accounts for which: |
Select the last month and year that will be included in the report. Select the number of months prior to the last month/year selected to be included in the report. Select whether All Months must meet criteria, Any month must meet criteria, or Total of the months meets the criteria. The criteria will be set after this option is set. |
Criteria for: | Select Sum is greater than, Sum is less than, or Sum is not equal. Enter an amount in the Amount field to correspond to these options. |
Instead of using entire 10 characters of Sub-Account for comparison only use first ( ) characters | Choose the number of characters to use for comparison purposes. |
Detail List of Limit Criteria being Applied | This will provide a report listing the Account/Sub-Account, whether the Sub-Account was included or excluded, and the total amount based on criteria selected. |
Printer Tab
Printer tab allows you to set the report printer options. This tab is the same on all reports.

Page Orientation | Choose to print the report in Portrait, Landscape, or the Printer Default. |
Override Paper Size to Legal | Check this box for the report to print on Legal paper. |
Print Color | Check "Yes" or "No" for the report to print in color. |
Font Size | Select the font size for the report. "Auto" will print the report in an "11" font. |
Font | Select the font style. |
Copies | Select the number of copies to print. |
Collate | Check the box for the report to be collated. |
Duplex | See Duplex Printing for more information. |
When Exporting to XLS, stack all cost centers onto one sheet. | Check this box to have all cost centers on one worksheet when exporting to XLS. |
NOTES:
- The printer tab contains an option to override the paper size to legal without having to change it on the print dialog box. Reports will use a minimum of 0.25 for the left, right, and top margins. The bottom margin will use a minimum margin of 0.17.
- If necessary, based on column width and font size column headings may be abbreviated. For example, "Current" will be abbreviated to "Curr," "Year to Date" will be abbreviated to "Y-T-D," and "Month" will be abbreviated to "Mon."
Menu Items at the bottom of the screen
Sends the report to the designated printer. You have the options of collating or Duplex Printing that can be selected from the print dialog box. The "Setup" button will allow you to change the printer options. | |
Excel |
All of the financial reports that print give you the option of saving to a XLS(X) file (Excel spreadsheets). Many companies use this feature to import into Excel for analysis purposes. If sending the reports to excel, you can choose the paper size on the printer tab. Notes:

Drill | The Drill Down option allows you to quickly verify specific transactions that make up a line item on any generated report |
File |
PDF and other formats - Selecting the File button on any financial statement will bring up a print window to allow you to select the format and the location to save the statement.
Also see Folder Transfer/Compare about where your files are saved. |
View | Prints the selected report to the screen. |
Change | Will allow you to change the options on the screen. |
Default | This allows for the default options to be set. |
